We are hiring! Management Assistant to the CEO (M/F/X) – Brussels

Full-time position | Salary range €2,800–€3,200 based on experience

Department: Asset Management

We are currently looking for a Management Assistant to the CEO to provide high-level organizational and administrative support within an international asset management environment. Reporting directly to the CEO, you will work in a trusted one-on-one relationship and act as a key liaison with the Board of Directors and senior management teams. You will also support executive outreach, external relations, and oversee specific projects.

Position

As Management Assistant to the CEO, your main responsibilities will include:

  • Managing highly sensitive matters with the utmost confidentiality and discretion, particularly those impacting the company's global operations
  • Managing and maintaining a complex and demanding executive calendar, including scheduling, prioritization, and resolving conflicts
  • Anticipating needs by reading, researching, collecting, and analyzing information in advance to optimize the CEO's time
  • Preparing high-quality presentations, agendas, reports, and other documents, using approved templates whenever applicable
  • Organizing internal and external meetings: scheduling, room bookings, agenda preparation, follow-up actions, and coordination
  • Attending meetings and ensuring accurate minute-taking
  • Organizing and following up on travel arrangements (flights, trains, hotels) and preparing related expense reports
  • Handling telephone calls professionally: filtering, prioritizing, transferring to key stakeholders, and ensuring timely follow-up
  • Managing emails and inquiries proactively, prioritizing actions, maintaining databases, and ensuring structured document filing

Profile

  • Bachelor's or Master's degree with proven experience as a Management Assistant supporting C-level executives
  • Fluent in French and English (written and spoken) with a minimum B1+ level in Dutch
  • Creative, proactive, and comfortable working in an entrepreneurial and fast-paced environment
  • Excellent judgment and strong administrative and organizational skills, with the ability to manage multiple priorities effectively
  • Outstanding communication and time-management skills with a proven ability to meet deadlines
  • Highly professional, clear, and assertive in both written and verbal communication
  • Advanced user of Microsoft Word, PowerPoint, and Excel
  • Discreet and trustworthy, with a strong ability to handle confidential information
  • Hands-on, flexible, motivated, and solution-oriented
  • A strong team player who is also comfortable working independently and autonomously
  • Comfortable with change and eager to work in a dynamic environment
  • Interest in the financial sector; prior experience in the sector is an asset but not a requirement
